Operational information

In order to be able to fulfil any contract with you, as well as to provide you with requested services such as quotes and advice, and for our legitimate business interests, we need to collect your name, e-mail address, postal address and phone number. These are generally collected via a contact form on our website or from an e-mail you send us. Personal information may also be included in documents we translate for you or provided by you during interpreting or other language services.

The WordPress commenting function is currently disabled on this site. It is currently not possible to register as a user on this site and therefore it is not possible to login or upload media. Cookies are therefore limited to those used by a standard WordPress installation.

Your name and contact details will be used for contractual purposes e.g. invoicing, and logistical purposes such as arranging and keeping appointments and interpreting assignments. We keep original and translated documents and relevant correspondence for evidentiary purposes to protect our legitimate business interests in the event of a dispute and for the purposes of quality control and reference in order to be able at all times to fulfil our contractual obligations to deliver a top-quality language service to you. If you are a client or have contacted us for a quote or with an enquiry, we will add your name and e-mail address to our CRM in our Swiss cloud-based accounting system, Bexio, for our legitimate commercial interest.

What is our legal basis for using your information?

In the vast majority of cases, we collect and retain your information because we are obliged to do so by law, or regulations, or in order to fulfil a contract with you or prepare for this. We may occasionally contact you for our legitimate commercial interest.

How long do we store your information?

Under Swiss law we are required to keep business records, which may include personal information such as name, contact details, contract and order information etc., for a minimum of ten years.

Where do we store your information?

For both operational and security reasons, any information we collect is stored either within our secure cloud-based accounting and CRM system in Switzerland (Bexio) or in other password-protected cloud services covered by the US Privacy Shield Framework (iCloud, OneDrive, Trello) in compliance with GDPR.

With whom do we share your information?

Your information may be shared internally with employees and/or authorised signatories of Shipwrite GmbH. Externally, information will only be shared with necessary persons such as translators & interpreters commissioned by us (under the same terms as this privacy policy), professional advisers such as our accountant, or where otherwise required by law. In any case, data is in principle deemed to be confidential and treated as such unless it is already in the public domain or already known to the other party. We do not sell your personal information to third parties.

What rights do you have over your information?

You can request that we erase any personal data that we hold about you. This does not include any data we are obliged to keep for administrative, legal or security purposes.
